What does an AI consultant actually do?

Updated .

The short answer

An AI consultant works out where artificial intelligence will genuinely save a business time or money, explains it in plain English, and then helps put the right tools in place. A good one starts with how the business works, not with the technology, and will say so when AI isn't the answer.

What does that look like in practice?

Strip away the buzzwords and the job is fairly simple. A good AI consultant will:

  1. Learn how your business actually runs. Who does what, which tools you use, where work gets handed from one person to the next.
  2. Find where time is leaking. Usually it's repetitive admin: answering the same questions, copying details from emails into spreadsheets, writing up notes, chasing paperwork.
  3. Decide what's worth doing. Not everything that can be automated should be. The best wins happen often, follow clear rules and do little harm if they go slightly wrong.
  4. Build or set up the solution. Sometimes that's a bespoke tool. More often than you'd think, it's switching on features in software you already pay for.
  5. Get your team using it, and stay on hand. A tool nobody trusts is a tool nobody uses.

Why does the advice part matter so much?

Here's the thing: just "using AI" isn't a strategy. Most small businesses aren't short of AI tools. They're short of someone who can look at how the work flows and say, clearly, "this bit, not that bit".

I've spent over 20 years as a motion designer, which is basically the job of making something complicated obvious in about 90 seconds. It turns out that's most of AI consulting. If you can't explain what a tool will do, what it costs and what it saves in a couple of sentences, it probably isn't the right tool.

What shouldn't an AI consultant do?

  • Sell you a chatbot before they've asked a single question about your business.
  • Bury you in jargon. If you leave a call more confused than when you joined, that's on them, not you.
  • Promise to replace your staff. AI is at its best taking the admin off people, not taking their jobs.

There's more on this in how to choose the right AI consultant.

Isn't that just an IT person?

There's overlap, but they're different jobs. IT support keeps your systems running. An AI consultant looks at how work moves through the business and where AI could change it. A good IT person is a brilliant ally on an AI project, because they know where everything lives.

How does HappyOwl do it?

HappyOwl starts with a free 20-minute call to see whether we're the right fit. Next comes the Owl's Eye view, a half-day deep dive by video call for a fixed fee agreed on the call, which produces a prioritised, plain-English roadmap. Then, if you want to go ahead, we help build and implement the roadmap and stay on hand once it's running. Think of it like having your own AI consultant inside the company. See how it works.

Rather just ask?
